Update from the ISC

Implementation Steering Committee: This group is researching replacements for the Basecamp platform to allow colleges to continue communicating on a one-on-one basis. This replacement will act as a temporary solution, or “stop-gap”, before a more permanent solution is introduced at a later date. We encourage everyone to vote on which platform would be best suited for the interim use of the committees: https://forms.office.com/pages/responsepage.aspx?id=tAn_DF4wiEyykX-d8Bj00J1Rn24IwrVAvGDndyfDB1pUMDRDWU41UUZMTklHUTQyM0JQTkVYRUJINS4u

Metadata and Cataloguing Subcommittee - CLO metadata standards (25 material type standards) - insane spreadsheet - being made into a LibGuide that is consumable. bring up the level of cat standards in the consortium. Also working on Workflow (import profiles, stand-alone records) in line with their CLO Metadata standards

User Experience Subcommittee - The user experience subcommittee has reached a decision on how to support the Decolonizing the College Catalogue Committee and the Indigenous Matters committee. The UX subcommittee is working on a list of LCC subjects that can either be edited or deleted in Primo VE. The subcommittee will be releasing a briefing note for guidance. The list of terms being provided by the subcommittee are a starting point and are by no means definitive, nor are they being recognized as the ‘most important terms to be corrected. The subcommittee is also preparing a briefing note regarding resource sharing though this is in the preliminary stages.

Update on Analytics Report Research

Update from Lingling:

  • Reports to display “Annual Counts” are available - with the option to select/review a specific year

  • A report/dashboard to display information like loans, in-house usage, renewals, overall circulation statistics, etc. is available

  • Reports to display “Items Loaned by Patron Group” are available

  • Reports to display “Patron Physical Requests by Year” (trending analysis) are available

  • There are other reports available in addition to the above mentioned

  • All of the above reports can be modified to allow the “annual period” to match the needed dates of the CLO reports

Update from Rebecca:

  • Many of the inventory questions can be answered by looking at the “physical” and “e-inventory” dashboard

  • There are inventory “issues” when one is not connected to the Network Zone - there are two features that have to be enabled to properly connect to the Network Zone

    • To receive reports mark the “Analytics Catalogue Available” as “true” (*INFORM*)

    • To see full inventory options mark “Analytics Network Inventory” as “true” - this will allow you to see other institutions' inventory (mostly e-inventory) and they will be able to see yours as well. Doing this will allow you to receive fuller/more accurate inventory reports

    • Turning these two things on does NOT change the dashboard in the sense that it continues to display only resources relevant to your institution.

Other:

  • ACTION ITEM: @Rebecca Pearson and @Lingling Jiang to add the links/paths to individual reports to the found reports to the excel spreadsheet for @Jennifer Mo (Unlicensed) to refer to.

  • ACTION ITEM: @Jennifer Mo (Unlicensed) to add new reports identified by @Rebecca Pearson and @Lingling Jiang to a “Shared Reports” folder; these reports can be modified at a later date. However, they are meant at the moment to reflect, as best they can, to the reports currently run by CLO

  • Future Action Item: to begin a briefing note to inform colleges on setting recommendations for report access.

Feedback on Sandbox Management Guidelines (Deferred)

  • The committee began addressing feedback presented by Amanda Van Mierlo. The discussion had to be cut short due to time constraints.

  • ACTION ITEM: @Everyone to read the feedback posted by Amanda Van Mierlo and be prepared to discuss at the next meeting - Re: 2022-08-19 Systems Agenda | Comment

  • Discussion of role of the SAD subcommittee post Go Live. See Orbis Cascade Alliance Systems Committee for an example: https://www.orbiscascade.org/programs/systems/documentation/
