Action Items from Previous Meeting
Katherine has updated Google doc to show how many colleges have each system (for LMS, SIS, Discovery layer, etc) to help with sharing widgets, etc. https://docs.google.com/spreadsheets/d/15Ad4cG18RxpQxLVjBazYSuJfja4pKcGmAWjuNtK1m0c/edit?usp=sharing
Systems Subcommittee Chair Update (Katherine)
The Implementation Details for College IT Departments - CLSP Implementation - CLO Collaboration Space document was discussed at ISC as a useful tool for IT.
Review/Update Support for College IT Departments working on Integration (Liana)
PMO created to provide a package of information for IT departments Implementation Details for College IT Departments - CLSP Implementation - CLO Collaboration Space so they can be confident that they have all the information and requirements they need. Also, it can be used by library management to understand the scope of IT involvement.
There is a concern that it may be better to provide less rather than more information and that it may be too granular for IT. Overall, the subcommittee finds the document would be useful for IT, especially for dates and for colleges that are smaller without much IT expertise. IT may determine what parts are useful and use the document as they wish.
Improvements to be made include adding/highlighting future meeting dates and potentially add information under self-check out machines and other items if useful tips/info is found.
At this point, information from SAD Committee Collection of Helpful Information for College IT will not be added to Implementation Details page.
Facilitating meetings between IT personnel
(Fanshawe/Centennial/Algonquin, UofGuelph/Cambrian/Fanshawe?, others? BOLT?)
The Fanshawe/Centennial/Algonquin IT meeting went well. If other colleges are having challenges, meetings can be facilitated if needed.
SIS Upload in XML format (from Kick Off meeting) (Liana/Eva)
Example from SUNY
How many colleges can't/won't use XML format for their SIS load? All Banner colleges and most likely others as well. However, some colleges are already working on solutions
Option of CSV User loader, but it is only a manual solution.
Ex Libris Developer Network: Learn, Build, Share | Ex Libris
Thomas is working on a bridge solution to convert file to XML; Algonquin wrote script that worked for Banner and is happy to share, but was pulling from data hub, not Banner directly. SUNY solution may be a better option but need to clarify if is API or XML approach. When a solution is developed, it should be shared with BOLT for other Banner colleges. Next step is to get more details from SUNY about their solution.
ACTION ITEM: Liana to schedule meeting with SUNY about their solution
ACTION ITEM: Liana to tell Amanda that she will be liaison with BOLT for the subcommittee.
Briefing Note - Analytics
It is recommended to prepare a Briefing Note on recommended patron data that each colleges should include in SIS imports to support consortia-wide analytics. For example, OCAS program data. Use the work of Danielle to start with: Page Not Found - CLO Collaboration Space (Liana)
Consider what kind of information needs to be collected for analytics from collaborative approach. And also consider asking CLO Assessment Committee and Library Leadership what would you like to us to collect?
ACTION ITEM: Everyone read the briefing note for background and suggested consultations.
