Diana Borges, OCLS: Outstanding issues/solutions

  • sending borrowing requests to Seneca

  • searching Seneca catalogue through deep search configurations

Liana Giovando, OCLS:

  • meeting with OCUL Collaborative Futures Operations Committee on September 30 to discuss partnerships with all of the OMNI schools

  • doing preliminary testing with Durham College

  • Aimee, Dom, RSWG co-chairs will be at the meeting

  • Rebecca Pearson has agreed to join as co-chair

Brenda Desjardins, Query to patron letters type 6 header

  • no update from Ex Libris on St Lawrence ticket: We have a Type_6_query_line_1 ) that reads "Please note there is a delay in receiving the item(s). Keep checking your email for any other updates regarding your request(s)." But there is no corresponding Type_6_header.

  • Conestoga has noticed the same issue, even though letter template 6 was working during their earlier tests

  • OCLS will also open a case with Ex Libris

Jennifer Horwath, Mohawk, ILL form showing up on book chapters in Primo VE

  • ILL form is showing on chapters of the book in Primo VE for O’Reilley eBooks

  • from the CDI record - the chapters will also have an ILL form

  • also showed up for print books that are multi-volume but that was a configuration issue and they were able to resolve it

  • suggestion: add book chapters to DLR

  • Stacey hopes to put together a normalization rule

  • if you have an idea about a good use for a local field - raise it with the CLO cataloguing forum

Aimee Jeffrey, Conestoga: Resource that vendor is directing to a different edition

  • Nursing 2021 drug handbook - takes you to 2024 edition when you click on the link

  • would like to remove record for the old edition because also have 2024 item record

  • process? add it to our catalogue and then delete it to get rid of it

  • NZ resource - so can update for everyone

  • if Conestoga wants to do it just for themselves, what is the process: add it to our catalogue and then delete it to get rid of it?

  • 8 other colleges are attached to the record

    • that might be the issue

    • in order to get rid of the record, maybe it needs to happen for everyone

    • part of NZ collection - forward issue to Marie

Stacey Boileau, OCLS: named user limit

  • reach out to OCLS, let us know e.g. George Brown were moving to SSO and they let us know that they were going to have an increase in users during that specific time

  • renewal of contract, that can come up

  • Erin Williams, Fanshawe: we are at or exceeding our named user limit

  • Liana Giovando, OCLS: Ex Libris will not shut down access at named users limit but when it comes time for renewal, they will use it as an argument to increase fees

  • Aimee: like Erin, we have exceeded our limit at the moment at Conestoga

  • Liana: good practice to get rid of old named user accounts; if there are ways to share usernames for circ staff

  • Aimee: shared accounts is not best practice

  • Stacey: if you move to SSO, don’t have that choice any more

Aimee: resource sharing stories

  • Conestoga: 4-5 out at the moment, get 4-5 per week, have gone almost through full process - lending library just needs to receive, everything went smooth;

  • Process compared to ILL previously: time saving - ILL staff should be happy

  • more or less than regular ILL?

    • Aimee - on par

    • Rebecca Pearson, Lambton - more requests; have had 1/month, used to get 1/year and typically faculty; have not been the lending library yet, but have a pretty small print collection

Travis Winwood, Algonquin: Resource not locatable status due to patron’s role having expired

  • patron’s role was expired - not their account

  • particular patron might have been updated by staff, role expiries not updated by the system

  • want to update sis load but will be a long term process

  • underlying problem was a local issue

  • OCLS will look into customization of cancellation reasons

Aimee, Renewal after an item has been checked in

  • someone had returned the ILL, checked it in but not sent it back to lending library, patron asked if they can renew it

  • will keep us posted re their workflow

  • is there a way to reopen request? might need to start from scratch

  • Rebecca: send note to lending library; start from scratch with request

Brenda Desjardins: tickets created by Proquest for invoices

  • Proquest has started to create tickets on Brenda’s behalf for items purchased in Rialto

  • don’t have a Canadian portal to pay invoices

  • issues with the tickets: Proquest did not complete the form properly, so Brenda can’t close the tickets or make a comment; ticket that did not include the gst

  • more tickets are opened when Brenda uses the Rialto support chat

  • Stacey will let Gagan know so she can ask Rialto about this new process

  • Gagan might reach out to Brenda if she needs more information
