Study Group Session 89: General Question and Answer, Resource Sharing Office Hours
Session Notes
Henry Han, Seneca College:
Borrowing Requests Testing
Tested and successfully sent borrowing request to Loyalist
Loyalist was not able to send a borrowing request to Seneca
Testing with Terri Duff from Fleming College:
1 automatically cancelled by staff
1 jumped to another college
Recommendation for searching Loyalist and Seneca’s catalogues in Primo VE:
to avoid having too many search scopes, RSWG recommends not adding separate search profiles for Seneca and Loyalist Colleges through the deep search configurations
items from these colleges will still be located in Alma when staff/users submit a blank ILL form in Primo VE or place the request in Alma

RS Letters
only 5 headers for RS Letters
if using type 6 query line, no header to go with that when the letter is created so the letter doesn’t populate properly
EBSCO
issue with 400 error was resolved, PDFs opening properly
Syndetics
will try to do a manual upload

Book Covers
a lot of books not populating properly with the book covers
Syndetics usually populates the cover image with the book cover, but this is not working for legal materials in particular
Seneca: we just customize the cover icons, an icon that represents all of them; especially for legal materials
Ask in Discussion Forum
Proquest invoices
no online portal for invoices - usually send email with listing and send credit card information; will usually get receipts back pretty quickly
now showing up in support portal as tickets, credit note ticket also went to support portal
don’t be surprised if you get tickets from the support portal
hoping they will create a portal where you can pay directly

Resource Sharing Update
many colleges expressed readiness to move on to the next phase of including universities in the rota for resource sharing
can accommodate colleges that are not ready yet
Sep 30 RSWG Co-Chairs and Chairs of the Page 1+ Steering Committee will be joining OCUL Collaborative Futures Operations Committee to begin discussions
differences in how we share materials: OCUL taking approach of provincial academic wide collection, looking at collection development initiatives supported by provincial wide collection, whereas colleges still thinking of their collections as standalone collections
discussion of how we want to share with each other
technical aspects: do not anticipate that it will be anywhere near the amount of work as setting up RS so far
Shipping
statement of participation for physical resource among colleges was circulated to CLO leadership and agreed on in principle in June
general principle is that institutions will continue to use the process they have in place for ILL and whoever is shipping is responsible for the cost (lender responsible for shipping costs of sending items out and the borrower responsible for shipping items back)

Identifying RS Items in the Pick from Shelf List demo
Question from Confederation College regarding identifying RS items on the pick from shelf: We are wondering though if there is a way to identify which books on the Pick From Shelf are for resource sharing rather than an in-house hold. We would like to submit this as an idea for development in the future to make it easier for staff to know which books need to be on the hold shelf and which need to be sent out.
Look at the facets in Pick from Shelf List for Ship Physically tag
Way to deter having requests populate Pick from Shelf: rs_auto_request_lending parameter
When set to true (as it was throughout OCLS), this is what automatically creates the request on the item which populates it on the Pick From Shelf list. If set to false, this step will no longer be automatic. Instead, the Lending Request will be created, and it will run its Locate automatically, but once the Locate is finished the request will then sit and wait for staff intervention. Then, staff will go into the request's options to manually create the move request. For the virtual resource sharing libraries, we recommended setting this to false and the request pick up configuration to true to address the issue with the move requests.

Returning Requests
Loyalist had an issue when testing with Fleming and La Cite when processing returns - the status of the requests did not change on the borrower’s side from returned to partner even though the book was scanned in at Loyalist
Loyalist tested again with St Lawrence and workflow was not the issue; Fleming also tested successfully with Loyalist previously with other requests
Loyalist is looking into other settings that might have caused this issue
