Study Group Session 101: General Question and Answer

Session Notes

Kimberly Daigneau, St Clair: April new releases e-mail - is there an e-mail vulnerability we should be concerned about?

  • Diana Borges, OCLS:

  • Kimberly:

    • the instruction say to go to Configuration > Discovery > Other > Discovery Customer Settings and set the new customer parameter new customer parameter enable_email_client to true

    • can we do this before April 7?

    • Diana: the parameter is likely not available in your production environment yet

    • Erin Williams, Fanshawe: It's not available in production yet, I looked yesterday

Sarah Walker, Confederation: Does anyone use GOBI?

  • Brenda Desjardins, St Lawrence: we used to use GOBI but not currently

    • would you be willing to meet with staff at Confederation to discuss what she remembers of their experience, after April 7

  • Terri Duff, Fleming: Not Fleming.

  • Aimee Jeffrey, Conestoga: We switched to Rialto, but who knows what the future holds...

  • Dana O’Hagan, Niagara: Sorry, we use Rialto.

  • Raghav Bali, Algonquin: AC is planning to meet with Gobi soon and initiate using Gobi

    • Danielle Emon, OCLS: Wondering if that could be a bigger question beyond this group

    • Diana: I can let the Content and Licensing team know that there is interest

  • Sarah: Has anyone used the API integration between GOBI and Alma?

    • Brenda: No

  • Dana:

    • went to a session for EBSCO Mosaic/GOBI and they mentioned they would phase out GOBI and do everything on Mosaic

    • currently Mosaic only in US, might be end of this year/early next year that Mosaic might be available in Canada

Diana Borges, OCLS: due date for resource sharing loans

  • the resource sharing implementation team wanted to know if the loan due date is working fine for everyone or if you think it should be extended

  • Aimee:

    • had a request from ILL staff to extend the delivery timeline as it sometimes takes up to 2 weeks for the Canada Post shipping option to delivery items and currently I think we’ve got it set to seven days

    • so if someone can only come in on a Saturday to pick up a book and there’s a 2 week loan period, we’ve already eaten in a week to that loan period, so then they’ve got it for less than a week

    • I think if we can extend that, it would solve a lot of problems, because then it also effects renewals because we also have that total renewal timelines that is going to be affected by late arrivals and shipping timelines

  • Terri: Fleming would also like it extended.

  • Amanda van Mierlo, Humber: Humber agrees with extending it.

  • Sarah Walker: We've talked about it here at Confederation as well - if we can, we would like to extend it

  • Kimberly: St. Clair wouldn't mind extending

  • Aimee: some colleges use expedited couriers but for other colleges the Canada Post rate is the best option and we should use that as our baseline

  • Amanda: how long should it be extended?

    • I would suggest longer since most colleges are using staff mediation for requests/renewals

    • pitching at least 2 weeks on top of what we have, if it takes over a week for an item to arrive

  • Aimee: does everyone agree with Amanda’s 2 week suggestion?

  • Sarah: Confederation: I'm good with that

  • Terri: Fleming is fine with that.

  • Melissa Forget, St Clair: St. Clair is fine

  • Brenda: St. Lawrence is good with this plan.

  • Diana:

    • delivery delay has been set to 0 in the partner profiles, the lending due date is 21 days and the maximum renew date is 42 days in the Page 1+ Lending Rule distributed from the NZ

    • would you like me to extend the due date in and the renew date by 14 days in the Page 1+ Lending Rule?

  • Aimee:

    • I think so

    • Diana can do this from the NZ so it is automatically changed for everyone, you just may have to do some internal communication so that everyone knows about the change

    • Just to be clear, Diana, so I think this means that the loan period is now going to be 3 weeks and then the renewal would be 3 weeks renewal?

  • Diana:

    • it will be the due date (35 days) excluding the shipping time and the time the item is on the hold shelf

    • we had previously approximated that the loan to the patron will be 14 days: [Lending Due Date]-[Shipping Time]-[Hold Shelf Time]=[Loan Due Date]: Known Issues | Due date

  • Aimee:

  • Diana:

    • I can make the update and share it on the Discussion Forum

    • e-mail Help Desk (helpdesk@ocls.ca) if there are any issues with the change

Aimee: how does everyone clear their active borrowing requests lists?

  • I think what we’re going to do it change the status to whatever is accurate and then remove the requests. But I have noticed that that deletes the request. In Alma you can still pull everything in Analytics. The requests are listed as deleted but you can still see the status change. Is this what everyone else is doing or does anyone have a better solution?

  • For a while we just changed the status of everything to completed but then in Analytics we didn’t have a clear idea of what was actually happening.

  • Diana:

    • have you looked into the resource sharing completed requests clean up job clean up job?

  • Aimee:

    • don’t want to get rid of them

    • ideally, it would be good if we can just hold them in the borrowing request page for our ILL staff without having to look an analytics report - I’ve added the analytics report for her dashboard so we have view it whenever she need to to but it would be ideal to have it all in one place, if she could just unclick active to see all of the old history

  • Amanda: I think we are just changing it to completed so that it is not showing up in the default view in Alma.

  • Diana: I can look into whether there are any other options for you
