Discussion Items

Implementation Steering Committee update

  • The main focus of the Implementation Steering Committee over the past several weeks was to prepare for the CLO meeting that occurred yesterday (November 30th).

  • Rialto:

    • Currently, we the Rialto terms and conditions are being negotiated by OCLS. There is a wait for the finalization of the terms and signing of the agreement.

    • If your institution is ready to implement Rialto, please reach out to ProQuest about the implementation - this will allow you to begin implementation while OCLS finalizes the agreement.

    • Implementation might be a lengthier process than anticipated as it appears there are some delays.

    • The process is a white glove implementation meaning that you will not have to do the work, the vendor will do it for you.

eCampus Ontario open collections

  • This is a new topic which came to light on November 28th, during the higher education conference.

  • eCampus Ontario has created an OER collection for the college and university system. The question now is how to have the records easily accessible and useful to users.

  • Met/Cat has already discussed that they will be looking into the quality and quantity of the records in the OER to better establish how to organize the records.

ALMA D

  • The network zone has no Alma-D, instead it links out like it is a regular collection.

  • Conestoga has been testing/trying out ALMA D to begin understanding what is involved in using it.

  • Possible Problem: Alma-D comes with 3 terabytes of storage for all users, there needs to be a way to establish shared cost.

  • At present the timeline for implementation is spring/summer of 2023 or summer/fall of 2023

  • However, much like the Rialto situation, if your institution is ready to begin implementing Alma D now, please proceed on your schedule.

  • More information to come out next week about that topic

Eresources/NZ items for review (Nicole)

  • Currently, package collection titles are suppressed in Primo VE. It was agreed that it would be better if all of the titles were searchable, however, when the unsuppressing work was started it was found that the records would be put into all college library records. Group setting on the collection level, unsuppressed the bib and figure out where it goes.

  • Nichole has created a document on how to proceed with ERM Principle for the NZ which was distributed to this subcommittee via email.

  • There was a debate about the benefit of a resource recommender as another way for colleges to find databases (this would be similar to ‘Best Bets’ in Summons), it should be noted that a resource recommender would take a lot of work regarding downloading and uploading package information

  • There was a discussion on what portion of collections will need linking parameters (all EBSCO, Pro Quest, Gale, Safari, Films on Demand, Lexis, and more). This could account for a considerable amount of a colleges collection.

  • Is there a benefit in uploading all databases to both Page 1+ and the A-Z databases or is it better to appear in only one location (this would be at the discretion of each college), furthermore, would it be a possibility to include no full text databases in Page 1+.

  • There will need to be a revision made to the original briefing note as the original content did not work as expected, changes need to be documented.

  • ACTION ITEM: @Nicole Morgan to provide the ERM Principles for the NZ to the subcommittee via email so they can be reviewed and discussed at a later date.

    • A ‘default state’ must be established before colleges can make personal preference decisions

  • Release Notes: as monthly patches have been occurring the applicable information has been recorded on the LibGuide. So far, Nicole has been keeping tabs on e-resource specific patches or changes to ensure the committee is being informed of developments.

  • The committee decided that these updates should be distributed via email. The small updates need no discussion; however, bigger updates can be addressed at following meetings.

Guidelines and Principles Update (Nicole)

  • Nicole has created the guidelines and principles discussed in precious meetings, these are currently waiting for review before they will be published.

  • In addition, a decision has to be made as to where these documents should live when they have been reviewed and are ready for publication.
