DOs & DON'Ts: After Data Acceptance

We communicated “A Few Don’ts!” on the OCLS Deploy Activity Checklist & Cutover Reminders page, but we wanted to provide some more information about activities in the Network Zone (NZ).

OCLS is working to create a user-friendly and high-quality NZ experience for colleges. To support their work, they are asking you to hold off on certain activities until they receive further instructions from OCLS or the Implementation Steering Committee. They also have some recommendations.

We are calling these temporary “DOs & DON’Ts” for colleges.

DOs

  • Do keep your work in your Institution Zone (IZ) for now. Also, local work should have ample identifiers such as ISBN and OCLC number.

  • Do use the NZ to find existing records that you can use to create local inventory right now (just do not share new records or use import profiles with the NZ)

DON’Ts

Linking IZ records to the NZ

  • Do not run jobs to link your IZ records to the NZ.

The Metadata and Cataloguing Subcommittee is working on guidelines with specific instructions for running an IZ/NZ linking job to ensure the best records are represented in the NZ without too much duplication. This process will involve the use of specific match points to avoid false matches.

Also, OCLS plans to take a structured approach to the initial linking of IZ records to the NZ to ensure records are loaded in an optimal order. Please wait to run these jobs until the guidelines are finalized and OCLS provides further instructions.

NZ Records and Import Profiles

  • Do not use import profiles to load bib records to the NZ until the guidelines are finalized.
    The Metadata and Cataloguing Subcommittee is working on guidelines with specific instructions for using normalization and validation rules and import profiles. Please wait for these guidelines to be released before loading bib records to the NZ.

  • Do not create new records in the NZ for now.
    Until the CLO Metadata Standards and supporting tools are available and data clean up is finished, please do not create new records in the NZ. You can add local inventory to NZ if the record already exists in NZ. If you are adding a new record/inventory to your IZ, then please keep it in IZ and it can be linked to the NZ later.

  • Do not load records for certain format types into the NZ.
    The records for certain format types will not be added to the NZ. The Metadata and Cataloguing Subcommittee will provide guidance on types of resources that should not be linked to the NZ (e.g. equipment, student archives).

  • It is recommended to pause any decolonizing the catalogue work in the IZ.
    Just a reminder that colleges should not remove Library of Congress subject headings from records as set out in https://clo-collaboration-spaces.atlassian.net/l/cp/idm1wPBz. The decision has been to made to suppress these subject headings. The User Experience Subcommittee is developing a briefing note on suppressing subject headings in Primo VE that will provide an initial list of terms and instructions. OCLS is also considering the development of a shared local authority file that would assist with this suppression.

E-Resources Testing - Please feel free to start testing

  • Do not test access to your electronic resources until OCLS announces they are ready for testing. Your access to e-resources and many URLs will not work until OCLS has completed distribution and entered linking parameters. You will likely run into errors if you test before OCLS’s announcement. Access should be provided by the end of this week. OCLS will send out a communication when colleges can start testing.
