Session Notes
Resource Sharing Updates, Diana Borges (OCLS), Liana Giovando (OCLS):
The following colleges have published their profiles to the RSD since last week: College Boreal - Collège Boréal - Resource Sharing Library (Community), Confederation College - Confederation College Paterson Library (Community), George Brown College - Resource Sharing Library (Community), Humber College - Humber College - Humber and University of Guelph-Humber Library (Community)
Internal mapping table updated to exclude resource sharing requests from restore job and ‘SUBMIT_PURCHASE_REQUEST_RS' is now enabled for Fulfillment Services Operator / Fulfillment Services Manager role for: 01OCLS_ALGON, 01OCLS_BOREAL, 01OCLS_CAMB, 01OCLS_CENTENN, 01OCLS_CONEST, 01OCLS_CONFED, 01OCLS_FANSH, 01OCLS_FLEM, 01OCLS_BROWN. 01OCLS_GEORG, 01OCLS_HUMB, 01OCLS_LACITE, 01OCLS_LAMB, OCLS_MOHAWK, OCLS_NCC, 01OCLS_NORTH, 01OCLS_SAULT, 01OCLS_SHER, 01OCLS_STCLAIR, 01OCLS_STLAW
non-networked colleges will need to contact Ex Libris to enable these in your IZs, please let us know if you would like us to open a ticket and/or if you need more information
Met with Seneca and Loyalist to discuss options for colleges outside of the networked environment searching the catalogs of networked colleges in Primo VE for information for the resource sharing request forms: using NZ Primo VE recommended as more user friendly option
Upcoming documentation update:
Configuration instructions for enabling users outside of the networked environment to search for information for the resource sharing request form: adding a main menu link to the NZ Primo VE, configuring a third-party index/deep search
RS letter customization instructions to address Dear Sir/Madam greeting in all patron letters, Resource Sharing Return Slip and Resource Sharing Shipping Slip missing postal codes, postal codes, adding/enabling additional query types and customizing Query to Patron letters to support each enabled query type
DLRs to exclude resource sharing request option in Primo VE based on resource type / other solutions for resource sharing requests for electronic resources, based on additional testing
Parameter value for rs_use_tou_for_lost_item changed to True and distributed from the NZ, recommend having a Lost Item Replacement Fee of $75 in Loan Rule: Previously, when borrowing institution marked an item as lost, the request was changed to lost communicated and no fines and fees were applied to the lost loan. The lender received a message regarding the lost item, and they had to manually send a message with the fines and fees that would be applied to the borrowing institution. The borrowing institution had to manually add the fines and fees to the patron. Now, the borrowing library can set this this automatically based on the loan terms of use (TOU), by using the rs_use_tou_for_lost_item parameter.
Solution for issue that colleges with virtual resource sharing libraries were experiencing with move requests not showing up on the pick from shelf lists: set your Show in Pick From Shelf List to True in the Request PickUp Configuration + Change the value of the rs_auto_request_lending parameter to false
Change the value of the rs_auto_request_lending parameter to false: lending requests will now appear in your Tasks widget without active notes as new requests that require manual intervention
Solution for pick up location in resource sharing forms forms for colleges with multiple campuses (e.g. Cambrian, Northern), based on additional testing
Customize resource sharing request labels
Outstanding issues:
hold shelf expiry time at Mohawk
resource sharing request forms at Cambrian and Northern
resource sharing request option appearing in records for electronic materials/requests placed through resource recommender: Re: Humber - Discussion Page | Comment
Resource Sharing Shipping Slip missing address line 3-5 is missing
Niagara is not able to place borrowing requests in Alma without filling out the Requests Costs fields
French translations for resource sharing labels
OCUL Resource Sharing Hub is now live: https://docs.scholarsportal.info/view/Main/OCUL/ORSH/Alma_Configuration_Instructions_for_AFN_%26_Resource_Sharing/
Elesha Halbert-Teskey, Northern College:
Pick up locations not appearing in request form in Alma and Primo VE
college has multiple campuses defined in Alma
RS Library settings, locations look good
Ex Libris Documentation on Adding Fulfillment Policies.
How do I configure a Fulfillment Unit's On Shelf Request Policy? - FAQs
Louis Lacelle, Collège La Cité:
postal codes in letters: https://clo-collaboration-spaces.atlassian.net/wiki/x/DwDxWQ
what happens at the end of the rota: request status goes to cancelled by staff in Alma, cancellation letter is sent to patron if it is enabled
Conestoga has chosen to disable the letter and work with the request to try to find the item for the patron through an external partner/purchase request and if they are unable to find it, will send a query to patron cancellation email
are there definitions of the more actions for resource sharing requests posted somewhere?
can we hide the 2 other libraries from pick up location list in resource sharing request form? the default location is showing up properly and if a patron selects another library, it will still go to the same ILL e-mail but would prefer only one location to show up
the other LaCité libraries have options to hold equipment already 'booked', you may want to confirm that removing these libraries doesn't have an impact on their hold booked items process
how can I customize the resource sharing request label in Primo VE?
Configuration>Discovery>Display Configuration>Labels>Request options Labels
appropriate French translation?
Amanda Van Mierlo, Humber College:
article requests are coming through
link resolver that needs to be fixed in each database
Humber has chosen not to do this and address the requests when they come through
source in form tells you where the request is coming from

Amanda: RFID tape
If any libraries are using tattle tape in their library, we have some here that we do not need any longer since we have moved to RFID. You can email me at amanda.vanmierlo@humber.ca with shipping details and I can send it to you.
