Discussion Items
Analytics
Start exploring this topic but exploration will be limited without real analytics data. But this is not urgent considering other onboarding activities
See Knowledge base in Ex Libris – John to share modules he found
ACTION ITEM: John to share Ex Libris links, Liana to share presentation
LINK: Analytics - Ex Libris Knowledge Center (exlibrisgroup.com)
System Integration
John inquires on how SIS integration within Third Party Integration is going.
Amanda commented that they have good IT support but there are complications with University of Guelph - Humber. They are dealing with multiple data sources while trying to avoid duplication of data. In terms of requiring more information about data requested for implementation, University of Guelph wants to know more about data needed but they did not seem concerned at this point.
Amanda raises the question: Do the colleges need the same primary ID to be student ID for all users?
Primary ID
The Subcommittee may need to prepare recommendation for ISC on this issue
There is a proposal to use student ID as primary ID, but tot all patrons will be students – alumni, faculty, etc. A possible solution to treat them as internal users.
Certain fields can be protected in SIS load.
John proposes that the best practice for primary ID should be student or employee number for Banner colleges. Other categories can be managed manually. It may be necessary to confirm if library staff need separate profiles via Basecamp.
The Subcommittee should be aware that must have common identifier for SSO to work – see presentation from Amanda.
Liana asks the Subcommittee to consider preparing a briefing note with common questions and recommendations and why? It should focus on critical items in the short-term, like SSO and SIS.
The subcommittee would like to support the message that if you can incorporate ERM now, while you have IT involvement in the implementation it would be beneficial.
Amanda recommends adding content to the Patron Files page on Confluence instead of a Briefing Note as they could add the Subcommittee’s recommendations per field.
Decision: To add extra material to table instead of Briefing Note
Add column for Subcommittee recommendations
ACTION ITEM: Amanda to add content to the Patron Files page on Confluence.
Data across Colleges
Subcommittee needs to understand better the data for those fields across the colleges to be able to make appropriate recommendations and provide use cases for colleges to support data needs
Amanda raises issue of the lack of clarity around where all patron data will go.
John recommends using Alma Sandbox, User Management section to see patron record
Rebecca showed her college’s Mapping Form that provides info about how data will be mapped
Third Party Integration Form
Colleges may need assistance completing the form
ACTION ITEM: Eva to create a template for Third Party Integration Form
Provide simple explanations and indicate which items will need IT involvement
Only provide recommended options where necessary
Provide draft to Committee for discussion
Other topics
UStat and Campus M – confirm if there is an extra cost? ACTION ITEM: Joy to post question for Maria on Basecamp
John Ellis has been appointed as co-chair of ISC Committee and will be stepping down as chair of this subcommittee. He will attend meetings until a new chair has been appointed.
