Data Extracts

OCLS has extracted all Symphony college data files except for Acquisitions data (Vendors, Orders, Invoices, and Funds). In addition, Mapping and Migration Forms have been created in the validation process based on the data files extracted. Data extracts have been loaded to MFT Folders on your behalf and Mapping and Migration Forms are available from OCLS FTP.

Colleges can track the status of data extracts being completed by OCLS in the sub-pages below the heading, Tracking the Status of Your Extracts.

The following material is available from our SFTP sites in the ‘OCLS > out > Extract for ALMA folder.

Data Types

The information below provides detail on the data extracts. You can also track the status of data extracts by finding the page for your college under Tracking the Status of Your Extracts.

Bibliographic Records

OCLS will provide a full extract of all bibliographic records including eResources unless you indicate another preference. Please note: You will be able to omit eResource records at Cut-over if you include them in the Test Load, however, if you choose to omit eResources from your bib record files in the Test Load phase, you will not be able to include them in the final Cut-over Load.

MARC Holdings

OCLS will not extract MARC holdings based on the assumption that all your MARC holdings reflect serial holdings and the information needed is included in serial, issue, and control files. Please let OCLS know if you have other MARC holdings besides serials.

OCLS will not extract Boundwith records because it appears they are not used by the colleges.

Secondary Item

OCLS will not provide Secondary Item files because they do not have the ability and the file is an optional load for Alma.

OCLS will not provide Block files because that block information is in the Patron file.

Patrons

OCLS will provide Patron files but colleges need to let them know what to use as the match point, either User ID or Alt ID.

P2E

OCLS will assist colleges with the creation of Printed to Electronic (P2E) files but OCLS will need input from colleges on which records require P2E. Please see the eResource Migration Backgrounder and P2E Instructions for details.

Data Validation

Mapping and Migration Forms have been created in the validation process based on the data files extracted. See the page on Symphony Data Mapping & Migration Form Instructions for more information.
