Welcome new member, Cindy Rigg from Niagara College!

Unfortunately, Cindy was not able to join meeting today but the subcommittee is happy to have a new member!

Subcommittee Chair Update (items from ISC)

  • Niagara College is joining the CLSP, but will be implementing later. Representatives from Niagare will join on the subcommittees going forward.

  • The Branding project is still underway and wrapping up at the end of April. There is a naming presentation on Monday with visual elements proposed. They are also working on communication toolkit.

  • The Training LibGuide is being expanded and the new pages will be launched soon.

  • ISC is working on governance plans for after Go Live.

  • There is a demo of Ex Libris Leganto by Seneca on May 6. Contact Aura/Liana if you need an invite.

Review/Approve Briefing Note - Briefing Note NN - OCLS Managed Import Profiles for e-Resource Collections Not Found in the Alma Community Zone

The briefing note has been updated to reflect the current thinking about what OCLS will manage for e-resource collections not in the CZ.

The briefing note will then go to the Metadata/Cataloguing subcommittee for their feedback at their meeting on April 20. Then to ISC for approval on April 21.

A concern for colleges may be requesting their individual collections be managed by OCLS. It’s unlikely that colleges will opt out, but they can opt out by asking Nicole not to distribute to them.

For collections that are managed by OCLS, they will manage updates that includes additions and deletions.

Colleges will want to know the prioritization list of collections. OCLS will be starting with 5 collections that multiple colleges subscribe to and that have MARC records already available. They will need to be reviewed by Met/Cat subcommittee to ensure they will meet minimum standards.

OCLS is also working on workflows for acquisitions and distribution to the colleges for e-resources. These workflows will also need to be tested.

ACTION ITEM: Everyone to respond to Leigh & Liana with feedback on this briefing note via email by end of day Tuesday.

Debrief of working group sessions to discuss testing

Working group results can be used to inform development of Part 4 of the Testing Guide. They will not publish/share full results as it may not be useful for other colleges.

Consider instructions and tests we can include for sections 3-4 of the Part 4: Testing Electronic Resources

The subcommittee could create a list of tasks that each college or OCLS (Nicole) needs to do after Go Live to provide most access. There is a need to prioritize issues and capacity for OCLS and for colleges.

Colleges will receive list of actual matches and go look at flowchart and make decisions. But these decisions may be impacted by OCLS ability to fix an issue.

Liana proposes:

  • Testing required for cutover needs to be done by April 29

  • Design further testing by mid-May

  • Finished testing by middle of June

In terms of instructions for testing, they can be added to Part 4 of the Testing Guide.

The subcommittee agrees that the sub-pages collection entitlement/verification test, collections portfolio test, and link testing are useful sections for Part 4.

ACTION ITEMS:

  • Chris to add instructions to Collection entitlement/verification test page in Confluence. For issues: If collection are the NZ, post to Basecamp and tag Nicole. If collection in IZ, then post to Basecamp only.

  • Lindsay to add instructions/tips/hints to Link Testing page in Confluence.

    • Choose collections to spot test

    • Make sure it’s authenticated - check URL

    • Search for a title, not just the name of the package

    • Give guidelines about signs of authentication, tips and tricks to see

  • Liana to ask Ex Libris to train on building the MARC records in cases where it’s required

Collections portfolio test will be addressed later. It may involve focusing on selective packages to see if its the right selective package.
