Session Notes
Download link for digitization requests
Adriana Drakos, Mohawk College: Download link - set the limit for the download link to 5 but there is no limit to clicking the downloaded version
Aimee Jeffrey, Conestoga College:
Once the document is downloaded, there is nothing we can do about that - the limit is on how many times the link can be accessed. Once it’s downloaded on someone’s desktop, it is out of our control.
You need to make it clear in your letter that they get with the link limitation.
Diana Borges, OCLS:
For more information about the view limit configuration see s. 8 of the Instructions for Configuring Local Digitization. For more information about the document_delivery_cleanup_days parameter, see s. 15.1: https://clo.libguides.com/clsp-almaprimoguide/rsconfiginstructions
Ex Libris has enabled the Document Delivery Cleanup Job job and updated the document_delivery_cleanup_days parameter to 7 days for all OCLS institutions. The files should be removed the number of days defined in the customer parameter from the send date.
Liana Giovando, OCLS:
Make sure that in your letter there is specific information about not sharing copies etc.
Question on CLO Cataloguing Program Discussion Forum regarding searching external resources
Danielle Emon, OCLS
when searching other catalogues for records, make sure that resources are meeting CLO cataloguing standards as well

Physical records coming in with both a 260 and 264 fields
Discussion Forum Post from Travis Winwood, Algonquin College
Tried to use normalization rules to automate the removal of the 260 fields. However, they weren’t working as intended despite working properly when applied after the import because the 260 wasn’t in the imported record.
It was on the stub record created during ordering. We were able to setup a new merge rule to remove the 260. The only downside is that the merge rules are a lot more restrictive and theoretically, if the imported record had neither the 260 or 264, we would end up without either on the fully imported/merged record.
Rule code added was simply:
replace MARC."260"
Question: Solved! Removing 260 when 264 exists
Error message when sending resource sharing request to Durham North Campus partner
Amanda Van Mierlo, Humber College
tried to send two borrowing requests to Durham College and received the following error message:
no issues with sending requests to other partners
partner is active, locate connection was successful
Amanda will test again and then reach out to OCLS/Durham College
Is anyone using the Sandbox to train staff on Circulation?
Sarah Wiebe, George Brown
Amanda:
Not using it at Humber. Some of the challenges were that policies were different, so could just use it to show what an error might look like. Find it easier to set up scenarios in our own system.
Sarah:
Find it easier in the live environment too but it messes with our stats.
Amanda:
In our previous system I had strictly testing items and configured our stats to exclude those items. You can put something (e.g training item) in a note and then exclude that field.
Dana O’Hagan, Niagara College:
No, we just use the live environment and I have a student account to test with.
We rely heavily on documentation. Lots of screen shots to help staff go through step-by-step. My colleague and I had worked on them together and have them in a binder at the front desk.
