Study Group Session 103: General Question and Answer
Session Notes
Liana Giovando, OCLS: Resource Sharing Update:
There will a meeting on April 28 at 11 a.m. to introduce the instructions and workflow for local digitization requests, the first step towards digital resource sharing. The Copyright Interest Group will also provide a presentation on copyright and share the FAQs they have prepared.
There will be follow up meetings on May 1 and May 8 to go more in depth with the configuration instructions and address questions. The sessions will be the same and you can choose which one you’d like to participate in (or attend both if you’d like).
In the next 2 weeks or so, everyone would hopefully be set up for digitization. You can choose to not use these settings for local digitization, if you don’t do this at your library, but it will be the first step for facilitating digital resource sharing later on.
The configuration instructions, sample workflow and copyright FAQs have been added to the Page 1+ Alma and Primo VE Guide.

Diana Borges, OCLS: Resource sharing updates:
See Discussion Forum post: Question: Resource Sharing - Request Expiry
Whether you would like OCLS to add an expiry time for resource sharing lending requests for partner profiles distributed from the NZ. We currently have not configured a request expiry for these profiles (Fulfillment > Partners > Parameters). The partners we have added from the RSD have set expiry times for their requests. Durham College has a 5-day expiry time for their requests, Loyalist has set theirs to 3.
If we are to set an expiry time, would you like us to set it at 5 days, less than 5 days, or longer?
Carol asked if this will affect the suppression of cancellation notices to patrons as they currently have cancellation notices for physical resource sharing suppressed. Instead Resource Sharing assigns the request to ILLO for fulfillment, the philosophy being that the patron doesn’t care who or where we get it from--just that we get it by the date they may set when they placed the request.
I don’t think this will affect your suppression of the Ful Cancel Request Letter. This letter should not be sent if the date by which the request is needed has passed. For more information, see Ex Libris Documentation on Configuring Alma Letters. The ISO message is sent from the lending library to the borrowing library that the request has expired, the next partner on the rota will be activated and if there are no additional partners, the request will be assigned an Expired status. The request should remain in your borrowing list until you manually clear it or, if you have enabled it, the Resource Sharing Completed Request Cleanup job runs. For more information, see Ex Libris Documentation on Scheduled Jobs and section 5.2. of the configuration instructions.
Amanda replied that Humber would prefer not to have an automatic expiry date for these requests but could adopt one if it were being applied to all colleges.
Terri Duff, Fleming:
5 is fine for now
can change it later
Carol McNabb, Georgian:
Thinking of 5 days as well, but want to check with ILO staff to see what is a reasonable turnaround time for them.
could start with 5 if we can change it later
Travis Winwood, Algonquin:
5 Exact or Open days?
Diana:
exact days
there is a setting to exclude working days from the expiry calculation: Basic Resource Sharing Configurations - Ex Libris Knowledge Center
Decision: Need more time to consider this. We can bring it back up at a future study group session
Diana: Projects you’re working on?
Terri:
just starting the inventory process for the first time.
So far I have 500+ books that should be On Shelf, but aren't.
Travis: scanner malfunctions were the biggest issue when Algonquin did their inventory
Melissa Forget, St Clair: We're planning on starting in the summer
