Action Items from Previous Meeting Update

  • Terms of Reference accepted

Collections not represented in the Community Zone - update and discuss next steps

  • ACTION ITEM: Liana to send out email to college liaison about populating table on Collections not represented in the Community Zone

  • The purpose of the list is to identify what the consortium does not want to include into the Community Zone (CZ) and it is also useful to document one-offs.

  • A column is added to the table for notes/preferences for the item to be standalone/in CZ. Then, the subcommittee will make the final decision based on the full scope of resources identified.

  • The issues with e-resources without good quality metadata will need to be addressed with the Cataloguing/Metadata Subcommittee.

  • The subcommittee also needs to determine what work needs to done to ensure these e-resources can be discoverable in the Network Zone and who will do the work (e.g., colleges, OCLS).

Potential Approach for the process

  • For e-resources in ERMA, the information is being collected already and is available on OCLS site. The subcommittee could reach out to Cataloging/Metadata Subcommittee to see if the data meets the minimum standards. If it does, that information could be included. If it does not, then it would need to be brought up to standard.

  • For e-resources not in ERMA, a decision would be made if the item needs to be in Community Zone.

    • If it should be included, then go back to the owning institutions and obtain the metadata.

    • If the metadata meets the standards, then update in the CZ.

    • If metadata does not meet standards, Identify what the reasons are for why metadata does not meet standards and identify who can improve the metadata (e.g., colleges/OCLS/Ex Libris).

      • Maintain/add ongoing record on OCLS to document these non-ERMA e-Resources and the information found in terms of metadata, etc.

  • To reduce work with the one-off sources, there’s discussion about how EDS has exact match recommender. Primo has similar functionality Resource Recommender - works like Best Bets, but this is a future issue.

  • ACTION ITEM: Leigh to create draft Briefing Note for comments/notes as people do research

  • ACTION ITEM: Everyone to work on list of resources not in the Community Zone

  • ACTION ITEM: If you find applicable research/info, please share by putting info/link in the briefing note.

Project Status Update

  • Kickoff may change to Nov. 15

  • Final Mapping & Migration form due date will be moved to Nov. 19

  • Next significant activity is Nov. 23 which involves Configuration Form

Network Zone Considerations (Liana)

(see file below) - further research for eResources and Acquisitions topics

  • This document outlines Alma functionalities that encourage collaboration, specifically of interest are the services under Acquisitions (e.g. vendors, eResources Purchases). These services will need to be considered in terms of who would be best to manage them (consortium/OCLS/each college) and who would manage the workload.

  • The subcommittee will need to understand the functionality, what the advantages/disadvantages are, and make a recommendation for the approach for those functionalities to ISC. The decision may be just to continue the current approach, but that needs to be documented, recommended and sent to the ISC for final decision.

  • This research could also help inform the previous Collections not in the CZ discussion item.

Update on OCLS Activation Form (Holly)

  • For E-resources found in ERMA, there was a small glitch which means that resources with unique URLs have to be activated at the Institution Zone (IZ) level (only applies to a small number of resources)

  • OCLS will provide an exact list of these resources to colleges so they can add it to their own forms and what line the resource is, where possible. They will add more information to their blog post.

  • OCLS is also working on how to handle perpetual access resources.

  • Do the collective tools, such as RDA Toolkit, Springshare, belong in the Network Zone? These tools are not regularly used by most students and could be managed in the IZ. Subcommittee supports for managing these tools at the IZ level.
