Definitions/Terms

 ***Q: What is the difference between electronic resources and digital resources

 ***Q: If we use Alma to manage digital objects, does it mean we can stop using those digital repositories?

A: ???

 Q: What does "fulfillment" refer to in Alma?

It refers to circulation. Fulfillment is the term used to indicate circulation in Alma.

Project Details & Meetings

 Q: Are all colleges obligated to cut over on the same date or can we each have a custom date? And for GO LIVE date?

A: Yes, in principle, all colleges will cut over on the same date and have the same Go Live Date

 Q: How long will regular meetings be during onboarding?

A: Usually one hour. Occasionally, meetings may be longer if needed.

 Q: How long will project status meetings be?

A: One hour each week. These meetings will also include training questions, tips and tricks, etc.

 Q: Do we have a tentative schedule for the project meetings yet?

A: We are in the process of developing a schedule and will send out invitations for meetings.

 When do new Alma Administrators need to complete certification by?

By the beginning of June.

Base Camp

 Q: Is Basecamp a collaboration tool? Will we use Basecamp and and Confluence?

A: Yes, Basecamp is Ex Libris’s collaboration tool. It will host detailed information about the project, Alma, etc. Confluence is used by the PMO and will mainly have reminders, communications, etc.

 ***Q: Does each college have its own Basecamp?

A: There is one Basecamp with a message board for questions, high-level project activities (To Do) managed by Ex Libris PM, documents and calendar. About 75% of content on Basecamp will probably be applicable to all colleges with some components that are unique to specific colleges. There are options to limit information you see and are notified about from Basecamp. Basecamp Tour link [?]

Zones

 ***Q: Are colleges responsible for the configuration of the institution zone while OCLS is responsible is responsible for the network zone? Or will OCLS have a canned configuration for all colleges and we can customize from there?

A: The PMO is still exploring how this will be set up.

Alma Sandbox

 Q: When we will get access to our Alma sandbox? How do we access it?

A: Access has been provided via emails from Ex Libris. If you have access to Basecamp, the links to the Alma sandboxes are in the Documents folder under Sandbox Information.

 Q: Does each college have its own Alma sandbox?

There are two Alma sandboxes. Ex Libris has found that to be sufficient in other projects. If issues arise, Ex Libris will determine if another sandbox is needed.

 Q: Will Sandboxes be refreshed once in a while?

A: Yes, they will be refreshed quarterly upon request.

Third Party Integration

 Q: For 3rd party meeting, do we invite IT staff?

Yes, it is recommended to invite the appropriate IT staff from your college.

 Q: Are self-check machines and book lending machines included at some phase (SIP2 connections and Stunnel)

Yes, they need to be part of the third party integration

 ***Are RFID readers considered a 3rd party integration from ExLibris's perspective?

Yes?? Not sure

 Q: Can IT get access to Basecamp for the P1 integrations?

Basecamp has a significant amount of information and most of it is not relevant for IT. Ex Libris recommends completing the third-party integration form and then Ex Libris will link to documentation for each software, which should meet IT needs. Ex Libris will provide troubleshooting sessions if needed.

Q: What phase do we first get access to the Primo VE interface?

A: In the Define phase, and access continues in Build phase.

Q: What does fulfillment refer to?

Q: If we want to clean up our records, when to we have to have it done by?

A: No pressure to clean up records before test loads. There is time between loads to update authority records. and tools available to help you clean up (deleting duplications, mass updates, etc.). To clean up item types, that can be done as part of the mapping.

Q: Is there a high level schedule following the Onboarding activities?

A: Yes, it is/will be available on Basecamp.
