Sharing Electronic Resources

Electronic and digital resources can be discovered by patrons searching another institution.

Decision: Do we want to turn set Ignore Electronic and Digital Resources? It currently is not enabled, which means this type of resource could show up and be requested.

Staff Mediated Lending

The default rule “Do not send borrowing requests automatically” is set and distributed to the IZs.

When a resource sharing request is made, Alma will not automatically send it to the lender to be filled. Instead, Alma will locate a lender and then display a status of Ready to Send” on the request. A staff member will need to review these requests and select Send for those that they want to send.

  • Note that Alma can be configured to do this automatically (and eliminate the need for staff mediation) should you decide to do that in the future.

Decision: Do we want to disable staff mediated lending?

Resource Sharing Terms of Use

The OCLS Lending Rules sets the default resource sharing loan period for 3 weeks for all institutions. Colleges can still change these TOUs according to their own needs.

Borrowing Rules

  • Resource sharing allowed

  • No receive/request/renew fee

  • No resource sharing limit

  • Pickup in Patron Affiliated Campus

  • No personal delivery

  • No personal delivery fee

Lending Rules

  • 3 weeks lending due date

  • 3 weeks maximum renew date

  • 5 day resource sharing recall period

  • No lost item fee

Shared Patron Information

The following resource sharing related parameters were set in the NZ and distributed to the IZs

  • rs_block_sending_requester_info=true

Enables patron information to be suppressed from a resource sharing request that is sent to another institution. The default is false. When set to true, the Send Requester Information checkbox on the ISO partner parameters is hidden.

Decision: Do we want to send patron information between institutions?

Rota Assignment Rules

Alma will first look at those institutions that are geographically close to fulfill a request

  • OCLS East

    • Algonquin, St. Lawrence, La Cité, Fleming

Resource Sharing Workflow

Decisions for Each College

OCLS will be responsible for these activities:

  • Configuring Rota Templates in the NZ

  • Configuring and distributing partners and locate profiles for IZs from the NZ (Currently there is one partner per institution).

  • Configuring Sending Borrowing Request Rules in the NZ

  • Configuring workflow profiles in the NZ and distributing to the IZs

  • Configuring and distributing Resource Sharing Terms Of Use (Currently these include OCLS Borrowing Rules and OCLS Lending Rules. These rules can be changed based on policy decisions made by the colleges.)

  • Make changes to configuration parameters in the NZ as needed

Colleges/other parties will be responsible for these activities:

Make changes to the resource sharing fulfillment unit and locations if necessary

Institutions will need to decide which fulfillment units and locations should be available for resource sharing. The current set up is limited to the locations associated with the general fulfillment unit. It may also be that there are locations within the general fulfillment unit that should not be available for resource sharing. In this case, institutions will need to create additional Request rules to exclude those locations.

Customize Resource Sharing Forms

Libraries may want to customize the Resource Sharing Form that displays to users in Primo VE when requesting. They may wish to change the name and the options that are available to their patrons via the form. Configuring Request Forms for Primo VE

Create Display Logic Rules

Libraries may want to use display logic rules to hide resource sharing request options from certain user groups if this service is not available to them (e.g. community borrowers, alumni, etc.) Configuring Discovery Interface Display Logic for Primo VE

Creating and maintaining policies, guidelines and/or terms of use for Resource Sharing

Changes to these policies should be communicated to OCLS if a configuration change needs to be applied in the NZ.

Fulfilling resource sharing requests from patrons

Includes creating and maintaining temporary item creation rules

Configuring Temporary Item Creation Rules

Includes mediating requests from patrons as required by the Resource Sharing policies

Communicate with OCLS if the Resource Sharing Library needs to be changed

Please do not make changes to the symbol or default locations for lending/borrowing, as they are used in other configurations.

Make changes to the Rota Assignment Rules if necessary

Currently these are configured in the IZs, but could be configured in the NZ and distributed. Individual libraries would still need to order the rules to fit their geographic location and preferences.
