📋 Counting Down to Go Live

10…9…8…7… After many months of incredible effort, we are almost at Go Live. The college libraries have completed their final migration forms and data extracts, with the help of OCLS. Ex Libris is migrating library data and preparing the final Alma & Primo VE environments. We remain on track for Go Live.

Currently, the college libraries are locked out of Alma and Primo VE until Ex Libris releases the colleges' final environments for data review and acceptance. However, they still have access to the sandboxes for testing.

We strongly suggest that college libraries use this time to train their staff and communicate about Page 1+ to their staff, faculty and students. If staff are on vacation or expected to join the library in the fall, we recommend preparing training plans and material during this quieter period. Please see the Useful Resources section.

Post-Go Live Checklist Activities

Ex Libris and the Project Management Office have prepared a list of activities that college libraries will need to do once they have accepted their Alma and Primo environments. These activities include running the Student Information Systems data to populate patron information in the new system, updating library URLs and websites to link to the Primo search box and managing e-resource collections access. In addition, OCLS has shared their Cutover and post Go-Live activities so that colleges know what OCLS will be doing on their behalf.

Planning for the Future of Page 1+

The Implementation Steering Committee has formed a working group to develop a permanent Page 1+ governance structure after Go Live. They are working in collaboration with the CLO Executive to ensure that Page 1+ governance is integrated with the future structure of CLO, allowing Page 1+ efficiencies and benefits to be leveraged for CLO initiatives.

Fulfillment Cutover (FCO)

This refers to the process of moving the most recent circulation data from the college’s systems to Alma before Go Live. It is part of the overall Cutover process.

Communication

As you know, we have created basic Launch Communications Plan that is available on the Page 1+ Alma & Primo LibGuide. Each college libraries is responsible for implementing Page 1+ launch communications/ activities that best suit their audiences and communication channels. Colleges are welcome to add their own elements, customize the draft content for their audiences and adjust the timing (except for Go Live).

We are currently in Phase 2 of the plan, which consists of reminder emails for faculty (with a Faculty Preparation Guide) and library staff. Preparations for Phase 3: Go Live should be well underway, especially for colleges planning to use promotional material.

Training

College libraries are responsible for training their staff, but there are many resources available to assist them on the Training Your Users page of the LibGuide. We’ve recently posted training presentations and videos from Centennial and a training plan from Conestoga. We also have the How To…In Alma section with links to videos and webpages. More material is being added regularly.

(plus) OCLS Service Update

After feedback from a college focus group, OCLS is taking a more holistic approach to communicating Page 1+ service proposals. This will give colleges a clearer picture of the areas of service and support that OCLS is proposing to provide. They are preparing a summary presentation that will provide an overview of the service proposals, their interdependencies and a high-level summary of the proposed activities.

Current service proposals in development include:

  • Page 1+ Consortium

    • Sandbox Management

    • Resource Sharing

  • Metadata Management

  • E-Resource Management (ERM)

    • Permitted Uses (formerly CLEAR)

OCLS has also been working on how to display permitted uses for e-resources in Primo. They will take a phased approach, starting with adding a CLEAR link to the electronic record in the Network Zone. This allows the relevant permitted uses for that item to appear in Primo search results for college library users. More sophisticated solutions will be explored for future phases.
